A Workflow Definition File is a single XML file that defines a Process and its constituent Steps. These files are imported into the project and act as set of rules for users. The Workflow Definition Files allow System Administrators to keep control over how the project is undertaken, and ensure consistency within a safe working environment.
Note: this process is only relevant to System Administrators.
A Workflow Definition File can be produced using the DPS Entry Editor or any other XML editor - the steps described here will be relevant for either method so choose the one you are most comfortable with. For instructions on creating a Workflow Definition File see the Administrator Documentation .
Importing a Workflow Definition File
1) | Click the Workflow button ![]()

2) | Click the arrow next to the 'Process Manager' caption on the right-hand side:
This takes you to the Process Manager screen:

4) | Click 'Submit Query' button to upload the file. |
Editing the Current Workflow Definition File
1) | Click the Workflow button ![]()

2) | Click the arrow next to the Process Manager caption on the right-hand side:
This takes you to the Process Manager screen:

3) | Click the blue 'Download current configuration' link. This displays the current Workflow definition which will appear as XML, similar to this:

4) | Use your browser's menu option File/Save page as to save this page as an XML file to your computer:

5) | Edit this file using the DPS or another XML editor (for instructions on creating or editing Workflow Definition Files see the Administrator Documentation ![]() |
6) | In the Select definition file box, enter the location (name and path) on your computer of the Workflow Definition File you have created. Alternatively, click the Browse button and find the file using a standard 'open file' dialog box.

7) | Click Submit Query to upload the file. |
Deleting Processes
1) | Click the Workflow button on the DPS website screen. This takes you to the Workflow Manager screen. |
2) | Click the arrow next to the Process Manager caption (right-hand side of the screen, about half way down). This takes you to the Process Manager screen. |
3) | Tick the boxes against the processes you wish to delete. |
4) | Click the 'Remove' button. |
Important Note: deleting a process also deletes all the tasks that implement that process. However, entries that have been through that process are not changed.
