Quick Start for System Administrators

Welcome System Administrators!

As the System Administrator you are responsible for some of the most complex and important tasks. It is up to you to keep the back-end of the project running smoothly and to troubleshoot technical issues. Your primary duties include:

Setting project configurations.
Processing data.
Setting permissions for all Users.
Troubleshooting User queries.

 

Most of your work takes place in the DPS Website but you will also need to be familiar with some areas of the Entry Editor in order to understand what others are doing. You will often be called on to troubleshoot User queries so you need to be able to understand the problems and respond efficiently.

Below is a guide to help you learn the DPS quickly. The guide indicates the areas of the DPS that you should concentrate on (Primary Knowledge) plus the areas of the DPS that you should be familiar with, though not necessarily proficient in (Secondary Knowledge). All users should start with the Introduction to gain a solid understanding of the overall system.

Key Information

There are a few key pieces of knowledge that are fundamental to your understanding of the DPS System. Please read the following points carefully and refer to the links for further information:

User Permissions are allocated to each individual User when they first gain access to the DPS System. The appearance of your screen will depend on the permissions you have been given. Some buttons may or may not appear on any given screen. If your editors complain that they can't perform a particular operation it is most likely because they do not have the correct permissions. As the System Administrator up to you and the Project Manager to check this.
The DPS is a fully configurable application so, in the earliest stages of a project you will work with IDM to set up the Project Configurations. You will need to consult the DPS Administrator Documentation for complete Configuration instructions. You should also be aware that most other Users are not exposed to the technical aspects of the DPS System  and therefore they may not fully understand Project Configurations. You may find that people frequently come to you with queries and as the System Administrator you need to make sure your team is fully aware of how Project Configurations affect their work.
One of the common 'troubleshooting' questions from editors and lexicographers relates to working on multiple projects. The Entry Editor is currently configured for one project, however some editors are working on several dictionary projects at once (sometimes even for different publishers). There are special setup requirement for working on multiple projects which you, the System Administrator, will need to be familiar with. Please ask your contact at IDM for instructions.

Knowledge Guidelines

The Introduction is the very first thing you should read. It explains how the overall system works and, in particular, the Workflow. It is vital that you understand the Workflow so you are aware of how your role affects the project as a whole.
